ON Semiconductor Admin assistant & AP responsible in Romania
- Admin Responsibilities
Answer and direct phone calls
Organize and schedule appointments; plan meetings;
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists
Book travel arrangements
Submit and reconcile expense reports
Provide general support to visitors
Act as the point of contact for internal and external clients
- Accounts Payable Clerk Responsibilities:
Receiving, verifying, and reconciling invoices issued by suppliers with the consumptions or physical items;
Check invoices&suppliers, microfilming and sending by e-mail to AP responsible
in ON AP center;
Creating Purchase requisitions(PRs) for invoices recording and payment;
Charges expenses to accounts and cost centers by analyzing invoice/expense
Reports into Prs;
Reconciles PRs with purchase orders (POs) for invoice recording in AP,
issuing stop-payments or purchase order amendments;
Creating and sending invoices files periodically to ON AP center in Roznov, Czech Rep;
Verifies vendor payments paid by Petty cash to reconcile payments in AP;
Uploading invoices sent to AP processing in payment ledgers(Petty Cash, Bank);
Creating/update of new suppliers in AP module;
Maintains historical records by microfilming and filing documents.
Disburses petty cash by recording entries; verifying documentation.
Protects organization's value by keeping information confidential.
- Admin Requirements
Proven experience as an administrative assistant,
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular);
Proficiency in English, spoken and written;
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
- Accounts Payable Clerk Requirements:
Some studies or experience in accounting or related field.
Proficient in Word, Outlook, and PowerPoint.
Advanced abilities with Excel.
Comfortable using a computer for various tasks beyond general accounting.
Understanding of payments, accounting, and budgeting.
